The RankAIO onboarding guide explains how to set up clients, run AI visibility audits, track competitors, and generate reports complete workflow for agencies.
Introduction
Getting started with RankAIO is fast — you can run your first AI visibility audit in under ten minutes. But to get the most out of the platform, it helps to understand the full workflow: from onboarding clients to delivering polished reports. This guide walks you through every major feature, step by step.
Step 1: Create Your Agency Account
Navigate to rankaio.com and click Start Free Trial. You can begin with up to three clients on the free plan. Once inside, you will land on the Portfolio screen — your home base for managing all clients.
Tip: During signup you can configure your agency name and logo, which will appear on all white-label client reports from day one.
Step 2: Add Your First Client
1. Click the + Add Client button in the top right of the Portfolio screen.
2. Enter the client's domain name. RankAIO will immediately begin a baseline AI visibility scan.
3. The scan takes 60–90 seconds and checks how the domain is currently cited across ChatGPT, Gemini, and Claude.
4. Once complete, the client appears in your portfolio with their initial AI Visibility Score and a breakdown by engine.
Step 3: Review the Overview Dashboard
Click into any client to open their full dashboard. The Overview tab is your starting point. It shows:
• The client's current AI Visibility Score (0–100) with a trend indicator
• Engine-by-engine breakdown — individual scores for ChatGPT, Gemini, and Claude
• A heatmap showing visibility across five query types: Factual, How-To, Product, Comparison, and Local
• A 6-month score projection showing expected trajectory if current optimizations are maintained
• Quick Wins panel — the three highest-impact fixes ranked by effort vs. impact
• ROI Module — estimated citations gained, AI traffic, traffic value, and pipeline value
Step 4: Run Prompt Research
Switch to the Prompt Research tab to discover what your client's target audience is actually asking AI engines.
5. Type any keyword or topic into the search field — for example, "project management software."
6. Click Research Topic and wait approximately 2 seconds for the scan to complete.
7. Review the summary: AI Volume, Topics count, Prompts count, Intent breakdown, and top brands being cited.
8. Browse the four sub-tabs: Topics (content cluster ideas), Prompts (exact queries to target), Brands (who is winning citations), and Source Domains (authority sites being referenced).
9. Click the + Task button next to any prompt or topic to push it directly to RankOps as an actionable task.
Pro Tip: Sort the Prompts tab by Commercial and Transactional intent first — these are the queries where being cited has the most direct revenue impact for your client.
Step 5: Analyze Competitors
Go to the Competitors tab to understand how your client stacks up against the competition in AI.
• Add competitor domains using the + Add Competitor button — RankAIO will scan and score them automatically.
• The Score Table shows your client's scores vs. every competitor across ChatGPT, Gemini, and Claude.
• The Gap Analysis shows how far behind the client is per engine, helping you prioritize where to focus.
• Competitor Query Intelligence shows the exact queries each competitor ranks for in AI — filter by High Threat to find your most urgent gaps.
• Click + Task on any competitor gap to create a targeted content task in RankOps.
This analysis helps agencies quickly identify competitive blind spots and turn them into high-impact AI visibility opportunities
Step 6: Review Citation Opportunities
The Opportunities tab lists all queries where competitors are cited in AI results and your client is not. Each row shows the query, estimated AI volume, which engines cite competitors, the opportunity level, and a + Task button to create a content brief.
The Content Gap Tracker sidebar shows six topic areas where the client has the lowest AI coverage, ranked by coverage percentage. These represent your highest-priority content investments.
Step 7: Monitor Citations
The Citations Monitor tab gives you a real-time feed of every AI citation event for your client — gained, lost, and new. Filter the feed by type to quickly spot citation drops and take action. The Citation Velocity chart shows weekly citation momentum, helping you demonstrate progress to clients.
Step 8: Run a Technical AI Audit
The Technical tab runs a comprehensive audit of the client's website against AI optimization best practices. Checks are organized into four categories:
• Schema & Structured Data — FAQ, HowTo, Organization, Article, and BreadcrumbList schema
• E-E-A-T Signals — Author bios, credentials, trust signals, and external references
• AI Crawler Access — GPTBot and ClaudeBot access, llms.txt, and XML sitemap quality
• Content Formatting — Direct answer structure, heading hierarchy, table usage, and paragraph length
Every failed or warning check shows a + Task button that pushes a pre-filled fix task directly to RankOps with title, description, and priority already set.
Step 9: Follow the Roadmap
The Roadmap tab organizes all optimization work into three phases: Foundation, Citation Capture, and Authority Scaling. Each phase contains prioritized tasks with effort and impact scores. As your team completes tasks, the phase progress bar advances, giving clients a clear picture of the program's momentum.
Step 10: Generate Client Reports
When it is time to report to your client, go to the Reports tab. Select the report period, your agency name, and choose which sections to include. Click Generate PDF to produce a white-label report covering AI visibility trends, citation wins, competitor snapshots, roadmap progress, and estimated ROI. Scheduled delivery automates monthly reporting for all clients.
Most agencies using RankAIO see a 40% reduction in reporting time within the first month, freeing up hours per client per month for higher-value work.
Conclusion
RankAIO's workflow is designed to move you from data to action as fast as possible. Every metric connects to a task, every task connects to a phase, and every phase connects to a report. Whether you are managing three clients or three hundred, the platform scales with you — keeping every client's AI visibility program on track from a single dashboard.
