Create a project
From the RankOps home, click New Project and name it after the client or site it covers. Choose whether it sits inside an existing client workspace or stands alone, and connect the matching RankTracker/RankAudit project so findings can flow in later.
Invite the team
Open Project Settings > Members and add teammates by email, setting each as Owner, Editor or Viewer. Owners can change sprint dates and delete tasks; Editors can create and move tasks; Viewers can only read the board and reports.
- Owner: full control including deletion and sprint settings
- Editor: create, assign and move tasks
- Viewer: read-only access, useful for client stakeholders
Pick a starting template
Before creating tasks by hand, check the Templates library for a close match — audit rollout, content sprint or local setup. Applying a template seeds the board with a realistic task list you can trim rather than build from zero.
Why this matters
Configuring your RankOps workspace correctly from the outset fundamentally dictates the effectiveness of your SEO operations. A poorly configured project, perhaps with an ill-fitting template or insufficient team access, leads to immediate friction. Tasks might not align with actual SEO workflows, reporting could be incomplete, and collaboration becomes cumbersome. This results in wasted effort, delayed campaigns, and a critical loss of trust in the system's ability to support your strategic SEO goals, ultimately impacting your ability to demonstrate tangible ROI to stakeholders.
Conversely, investing time in a meticulous initial setup ensures seamless operational flow. When your project reflects your team structure, your template mirrors your SEO sprint methodology, and all relevant team members have appropriate permissions, the platform becomes an accelerator. Workflows are intuitive, progress is transparent, and accountability is clear. This proactive approach minimises administrative overhead, frees up time for strategic thinking, and allows for accurate tracking and optimisation of SEO initiatives, directly contributing to more impactful results and easier performance attribution.
Refining Your Template for Sprint Alignment
Once you've picked a starting template, the next critical step is to adapt it precisely to your team's existing sprint cadence and specific SEO workflow. Most generic templates provide a solid foundation but rarely align perfectly with bespoke operational nuances. This refinement involves assessing whether the default task types, status columns, and custom fields accurately represent the stages and data points essential for your particular SEO activities, from initial keyword research and content briefing through to technical implementation and performance monitoring. Ignoring this customisation leads to workarounds and miscategorisation.
Consider a typical SEO sprint: it might include stages like 'Backlog', 'Ready for Dev', 'In Progress', 'Awaiting QA', 'Live', and 'Monitoring'. Your template should reflect these exact stages to allow for precise tracking and reporting. Furthermore, ensure any custom fields for metrics like 'Target Keyword', 'Traffic Estimate', or 'Impact Score' are present if these drive your prioritisation. A mismatch here forces data outside the tool or requires manual reconciliation, eroding the single source of truth RankOps is designed to provide.
To ensure precise sprint alignment:
• Review default status columns against your team's actual workflow stages.
• Add or rename columns to reflect every key hand-off point.
• Verify custom fields capture all essential data points for task execution and reporting.
• Remove any extraneous fields or columns that introduce noise without value.
Do it now
With your project created, team invited, and initial template selected, navigate to your project's settings to begin customising its workflow to mirror your team's specific SEO sprint process. This immediate action prevents the common pitfall of forcing your established workflow into an unsuited template, ensuring the board accurately reflects how work progresses from concept to completion.
- Click on the 'Project Settings' icon (gear) in the left-hand navigation bar.
- Select 'Workflows' or 'Board Settings' from the menu.
- Review the existing status columns provided by your chosen template.
- Add, rename, or reorder columns to match your team's actual sprint stages (e.g., 'Backlog', 'Ready for Dev', 'In Progress', 'Live', 'Monitoring').
Key takeaways
- ✓Name projects clearly and link the matching RankTracker/RankAudit project
- ✓Set member roles deliberately, especially for client Viewers
- ✓Apply a template first, then customise rather than starting blank
