Tasks & Kanban: Manage Every Deliverable Visually: Columns and moving cards to Setting WIP limits to Task card fields.

Columns and moving cards

Default columns are Backlog, To Do, In Progress, Review and Done. Drag a card between columns or use the status dropdown on the card itself; both update the sprint dashboard immediately.

Setting WIP limits

Click the column header menu and set a maximum card count for In Progress and Review. Once a column hits its limit it highlights in red, which is the visual nudge to finish something before starting something new.

Task card fields

Open a card to set owner, due date, effort estimate, priority and the linked page, keyword or audit finding. Filling the linked object field is what lets reports later show 'work done against this page' rather than a bare task title.

  • Owner and due date drive the Workload view
  • Effort estimate feeds sprint capacity planning
  • Linked object connects the task to RankTracker/RankAudit data

Why this matters

Neglecting the structured task management offered by RankOps Kanban often leads to a chaotic workflow, where critical SEO initiatives stall or fail to launch. Imagine a scenario where keyword research is complete, content briefs are drafted, but no clear owner is assigned for copywriting, or the 'In Review' column overflows because the SEO manager is unaware of the bottleneck. This disorganisation directly impacts campaign velocity, results in missed opportunities, and ultimately squanders potential organic traffic gains that competitors will readily capture.

Conversely, a well-managed RankOps Kanban board provides crystal-clear visibility into every stage of your SEO pipeline, from ideation to deployment. When tasks are clearly defined, assigned, and moved through WIP-limited columns, teams can predict delivery dates with greater accuracy. This predictability allows for strategic resource allocation, proactive bottleneck resolution, and seamless handover between different roles, ensuring that high-impact SEO work consistently progresses and contributes to measurable improvements in search performance and business objectives.

Prioritising Tasks with Swimlanes and Custom Fields

Beyond status columns, RankOps allows for customisation to visually represent task priority and impact, an essential aspect of effective sprint planning. Leveraging swimlanes and additional custom fields on task cards enables a nuanced prioritisation system that goes beyond simple 'High/Medium/Low' labels. For instance, creating swimlanes for 'Strategic Initiatives' vs. 'Maintenance & Bug Fixes' immediately segments work visually, guiding team focus towards core objectives without losing sight of ongoing operational necessities. This structured approach ensures high-value tasks receive the attention they merit.

Integrating custom fields such as 'Estimated ROI' or 'Technical Complexity Score' directly onto task cards provides data points crucial for informed prioritisation discussions during stand-ups or sprint planning meetings. These fields allow the team to quickly assess a task's potential business impact against the effort required, facilitating smarter decisions about what to tackle next. This method prevents subjective biases and aligns task execution with overarching SEO strategy, ensuring that effort is directed towards activities yielding the greatest return for your clients or organisation.

Consider these practical applications:

* Impact Score Field: Add a numerical field (1-10) for expected SEO impact.

* Urgency Field: Create a dropdown for 'Critical', 'High', 'Medium', 'Low' urgency.

* Resource Dependency: Use a multi-select field to indicate required team members or external assets.

* Quarterly Goal Link: A text field to link the task directly to a specific quarterly SEO goal.

Do it now

Open your active RankOps project's Kanban board and immediately identify one task currently residing in the 'To Do' or 'Backlog' column. Your goal is to refine this task's card by adding or updating its details to provide maximum clarity and context for future execution. This hands-on exercise will reinforce your understanding of how detailed task information supports predictable workflow and prevents ambiguity within your SEO team.

Perform these specific actions within RankOps:

* Select a task card from 'To Do' or 'Backlog'.

* Ensure the 'Owner' field is accurately assigned.

* Update the 'Description' field to include clear success criteria.

* Set a realistic 'Due Date' for its completion.

Key takeaways

  • Set WIP limits on In Progress and Review to stop silent overload
  • Fill in the linked SEO object on every task, not just the title
  • Move cards via drag or the status dropdown, whichever suits the flow

Do it now

Run sprints, tasks and goals so work moves predictably. Turn this into tracked work.
