The Templates Library: 16 Ready-Made Agency Workflows: Browsing templates to Applying to a project to Saving your own template.

Browsing templates

Open Templates from the left rail to see the built-in library grouped by use case. Each card shows the number of tasks it seeds and an estimated duration, so you can judge fit before applying it.

Applying to a project

Click Use Template, choose the target project and sprint, and the tasks appear pre-filled with typical owners, effort estimates and dependencies. Nothing executes automatically — it's a checklist, not automation.

Saving your own template

Once a sprint's task list works well for a recurring engagement, open the sprint menu and choose Save as Template. Give it a name and it appears in the My Templates section for reuse across other clients.

  • Built-in templates cover audit, migration, content sprint, link campaign, local setup
  • Custom templates save from any completed or active sprint
  • Templates can be shared across the whole workspace or kept private

Why this matters

Leveraging RankOps templates effectively significantly shortens the initial planning phase for new SEO projects, transforming what could be days of bespoke strategy formulation into a streamlined application process. Consider an agency onboarding a new e-commerce client; instead of painstakingly detailing every audit step, content brief structure, and technical requirement from scratch, a 'New E-commerce Client Onboarding' template can be applied, pre-populating essential tasks, sub-tasks, and AI prompts. This immediate operationalisation means the team can pivot from client win to actionable SEO within hours, not days, directly accelerating time-to-impact.

Conversely, neglecting the judicious use of these templates, or failing to customise them appropriately, can introduce considerable inefficiencies and inconsistencies. Imagine applying a generic 'SME Local SEO' template to a multi-location enterprise client without modification. Critical enterprise-level considerations, such as international hreflang auditing or sophisticated internal linking strategies across thousands of product pages, would be entirely absent from the initial plan. This oversight forces reactive adjustments, escalates project complexity, and ultimately delays tangible results, undermining client confidence and project profitability.

Customising Template-Driven AI Briefs for Content Sprints

When initiating a content sprint via a template, the inherent AI assistance provides initial draft briefs based on predefined parameters. However, these are starting points, not final deliverables. Successful content strategies demand nuance, requiring practitioners to refine these AI-generated outlines to align precisely with client-specific brand voice, unique selling propositions, and target audience psychographics. This involves adjusting tone, specifying competitive angles, and injecting proprietary research insights that no generic AI prompt can replicate.

The critical step is to review the AI's output against the client's current content gap analysis and keyword strategy. For instance, an AI might suggest a 'How-to' article for a specific keyword. Still, if competitor analysis reveals the SERP is saturated with such formats, the practitioner must intervene to direct the AI towards an alternative, more effective angle, such as a comparative review or an expert interview summary. This human oversight ensures content achieves differentiation and genuinely addresses search intent, rather than merely adding to content clutter.

Consider these refinement aspects:

Tailor target audience demographics beyond basic keywords.

Integrate specific competitor content gaps identified manually.

Define the required tone of voice with concrete examples.

Specify unique data points or proprietary research to include.

Do it now

Open your RankOps workspace and navigate to the 'Templates Library'. Select any template that seems relevant to a current or upcoming client project, perhaps one from the 'Content Sprints' category. Apply this template to a new, empty project within your workspace. Immediately proceed to review the pre-populated tasks and sub-tasks, paying close attention to any embedded AI prompts for content brief generation or task delegation.

  • Go to 'Templates Library'.
  • Choose a 'Content Sprint' template.
  • Apply to a 'New Project'.
  • Inspect AI-generated content prompts.

Key takeaways

  • Check estimated task count and duration before applying a template
  • Adjust owners and effort after applying rather than leaving defaults
  • Save proven sprints as templates to standardise repeat engagements
