Retention & Reputation

Monthly SEO Reports That Clients Read and Value

Build a monthly report format that opens with business outcomes and ends with next month's plan, so clients renew because they can see the value, not just the activity.

Lead with outcomes, not activity

A report that opens with a list of tasks completed ("optimised 12 meta descriptions, built 4 backlinks") reads as busywork to a client who doesn't know what those tasks are worth. Lead instead with the outcome: organic traffic, ranking movement on money keywords, and leads or conversions if you can access that data, then explain which activities drove that movement.

If a month shows flat or declining numbers — which happens, especially with algorithm updates — say so plainly and explain the likely cause and your response. Clients forgive a bad month far more readily than they forgive a report that quietly omits the bad numbers.

Structure that gets read in full

Keep the report to one page of summary followed by supporting detail, not the reverse. Busy clients and their bosses read the first page; put your best, clearest content there. A one-paragraph plain-English summary at the very top ("This month: traffic up 14%, three new page-one rankings, next month we're focusing on X") should be readable in under thirty seconds.

Always end with next month's specific plan, not just a historical record. Clients renew retainers because they can see forward motion, not just because last month went fine.

  • Section 1: one-paragraph plain-English summary
  • Section 2: traffic and ranking movement on priority keywords
  • Section 3: what we did and why
  • Section 4: next month's plan
  • Appendix: full data for anyone who wants detail

Automating the data pull with RankTracker

Set up a saved reporting view in RankTracker for each client covering their priority keyword set, so the ranking and traffic data pulls automatically each month instead of being manually compiled. This both saves you hours and reduces the risk of copy-paste errors that undermine client trust.

Schedule the report delivery to land a day or two before your monthly check-in call, giving the client time to read it and arrive with questions, which produces a much more productive conversation than reading it live together for the first time.

Key takeaways

  • Lead every report with outcomes, not a list of completed tasks
  • Report bad months honestly with cause and response
  • Keep the summary to one page, readable in under thirty seconds
  • Automate data pulls in RankTracker and send reports before the check-in call
