Responding well

Review Management: Monitor, Respond and Grow Reviews: reviews inbox to Setting up a request campaign to Responding well.

The reviews inbox

Reviews → Inbox lists incoming reviews across connected platforms in one feed, each with a Respond button, so multi-platform monitoring doesn't mean logging into several separate dashboards.

Setting up a request campaign

Reviews → Request Campaigns lets you upload or connect a customer list and set an automated review-request sequence, typically an initial ask followed by a single reminder for non-responders after a set delay.

Responding well

The Templates sub-tab holds starting-point responses for common scenarios — thank you, apology plus resolution, and a neutral request to take specifics offline — which you should always personalise before sending rather than posting verbatim.

  • Respond to every review, positive and negative
  • Personalise templates rather than sending them unedited
  • Move detailed complaints to a private channel via the template's offer

Handling a negative review

The inbox flags reviews below a set star threshold for priority response, and includes a Flag for Removal option to submit a policy-violation report to the platform where a review breaches its content guidelines rather than being a genuine complaint.

Why this matters

Consistent and high-quality review management directly influences your local search visibility. Google's local algorithm considers factors such as review quantity, velocity, and sentiment as strong indicators of business relevance and authority. Neglecting review response, or allowing a backlog of unanswered feedback, signals to search engines a lack of engagement, which can subtly degrade your local pack ranking over time. Conversely, a proactive approach, evidenced by a steady stream of positive reviews and prompt, thoughtful responses, reinforces your E-E-A-T (Experience, Expertise, Authoritativeness, Trustworthiness) signals, significantly improving your chances of appearing higher in 'near me' searches and local discovery.

Consider a scenario where two identical local plumbers operate in the same postcode. One actively uses RankLocal to generate review requests post-service, responds to 90% of reviews within 24 hours, and consistently maintains a 4.8-star rating. The other has no formal review strategy, accumulates reviews sporadically, and only responds to negative feedback, often defensively. Google's algorithm will unequivocally favour the first business. Its active review management through RankLocal provides richer, more current social proof and engagement signals, translating directly into better map pack positions and organic local search performance, driving more inbound leads and footfall through improved digital visibility.

Do it now

Access the 'Analytics' section within your RankLocal dashboard. Locate the 'Review Trends' report, which summarises sentiment and common keywords over the last 30, 90, and 365 days. Focus specifically on identifying the top 3 most frequently mentioned positive and negative terms related to your business operations. This immediate insight will help you understand current customer perceptions at a glance, providing a factual basis for celebrating successes or addressing critical areas for improvement within your service offering.

Immediately action the following steps:

Navigate to the 'Analytics' tab.

Select the 'Review Trends' report.

Note down the top 3 positive keywords.

Note down the top 3 negative keywords.

Key takeaways

  • Manage all platforms from the single Inbox rather than checking each separately
  • Automate requests with a campaign rather than asking manually and inconsistently
  • Personalise every response, even when starting from a template
  • Use Flag for Removal only for genuine policy violations, not just criticism
