Agency Client Reporting: White-Label Reports That Retain Clients: Choosing what to include to White-labelling to Scheduling delivery.

Choosing what to include

Open Reports and start a new report. Select the keyword segment (tag, group or full account), a date range, and which charts to include — visibility trend, top movers and share of voice are the three that clients understand fastest.

White-labelling

Under report settings, add your agency logo, brand colours and sender email so the report reads as your own deliverable, not a RankTracker export. This is the same panel used across other Rankar tools' reporting features.

  • Upload logo and set brand colours
  • Set a sender name and email clients recognise

Scheduling delivery

Set a recurring schedule — weekly or monthly — and a delivery list of client email addresses. The report generates and sends automatically, removing the manual export step from your weekly routine.

Reviewing before it becomes automatic

Preview at least one full cycle manually before switching a report to auto-send, to confirm the segments and charts chosen actually reflect the story you want the client to see.

Why this matters

Connecting RankTracker to your broader SEO stack, specifically via integrations, elevates reporting from a static deliverable to an actionable intelligence hub. For instance, seamlessly pushing ranking data into a Looker Studio dashboard alongside Google Analytics and Search Console metrics allows a client to correlate keyword performance directly with traffic shifts and conversions. Failing to integrate means manually cross-referencing disparate data sources, introducing latency and increasing the likelihood of misinterpreting cause-and-effect relationships, diminishing the perceived value of your SEO efforts.

Conversely, a poorly integrated setup, perhaps by merely dumping raw RankTracker CSVs into a cloud drive without context or linkage, actively undermines client trust. Imagine a scenario where a client is presented with a report showing a strong uplift in target keyword rankings, but then they review their analytics and see no corresponding increase in organic traffic or leads. Without a unified view, the client will question the integrity of the ranking data or your strategic insights, potentially leading them to doubt the efficacy of your services and ultimately churn.

Integrating RankTracker with Google Looker Studio

While RankTracker offers robust internal reporting, integrating it with a custom Looker Studio dashboard provides unparalleled flexibility for bespoke client views. This involves leveraging RankTracker's API or, more commonly for agencies, utilising a connector tool to pull specific ranking datasets (e.g., keyword position, search volume, SERP features) into Looker Studio. This approach enables dynamic filtering, custom visualisations, and the blending of ranking data with other essential performance metrics like organic sessions, conversion rates, and even competitor data, all within a single, live interface.

The key benefit is moving beyond static reports to an interactive, drill-down experience where clients can explore data tailored to their specific queries, fostering transparency and deeper understanding. This also offloads the burden of generating multiple bespoke reports from your team, as the client can self-serve various data views. Proper configuration ensures data refresh schedules align with reporting cycles, providing always-current insights without manual intervention, saving considerable agency time and enhancing client engagement.

  • Assess available API endpoints for required ranking metrics.
  • Select a suitable third-party connector for Looker Studio integration.
  • Map RankTracker data fields to Looker Studio dimensions and metrics.
  • Configure data refresh rates to match reporting cadence.

Do it now

Begin the integration process by exploring RankTracker's API documentation, specifically focusing on data export capabilities for keyword positions and SERP features, and identify which metrics are most critical for your primary client reports. This foundational step will inform your choice of integration method, whether direct API calls or via a connector service, ensuring you extract precisely the data required for comprehensive, customisable dashboards that reflect your strategic value.

  • Navigate to 'Settings' > 'API & Integrations' within RankTracker.
  • Review the available API endpoints and data schemas.
  • Identify the specific metrics you currently report on manually.
  • Document potential data fields for your target Looker Studio dashboards.

Key takeaways

  • Pick two or three charts a non-specialist client will actually read
  • White-label with your own logo, colours and sender details
  • Preview a report manually before switching it to auto-send
  • Schedule delivery to match your existing client communication cadence
